This module builds the conceptual foundation for digital facility management, clarifying the overlapping but distinct roles of Computer-Aided Facility Management (CAFM), Enterprise Asset Management (EAM), and Computerised Maintenance Management Systems (CMMS) — and why GCC facility operators often need more than one system working together rather than a single all-purpose platform. Participants map the full asset lifecycle from design and construction through operation, maintenance, and eventual replacement, understanding where each system adds value at each stage. The module introduces information requirements planning — defining what data an FM system actually needs before implementation begins — and closes with digital handover concepts: the shift from paper-based O&M documentation to structured, system-ready data that GCC facility operators increasingly require from contractors at project completion.

Asset Register Design

Asset Hierarchy, Coding, Location Structure & Mandatory Data Fields

A CAFM system is only as useful as the asset register behind it. This module builds practical asset register design skills, starting with asset hierarchy structuring — organising assets from site down to system, sub-system, and individual component levels in a way that supports both maintenance planning and financial reporting. Participants develop asset coding conventions that remain stable and scalable as a portfolio grows, and design location structures that map physical space accurately for facilities common across GCC commercial, healthcare, and government estates. The module covers the distinction between maintainable and non-maintainable assets, and closes with mandatory data field definition — the minimum data set every asset record must carry to support work order management, reporting, and lifecycle costing.

Handover Data Requirements

O&M Manuals, Warranties, Spares, Drawings & COBie Concepts

The handover package determines whether a facility can be operated efficiently from day one or whether the FM team spends months reconstructing missing information. This module builds practical competence in defining and reviewing handover data requirements — structured O&M manuals, warranty registers with expiry tracking, spare parts data, and as-built drawing sets appropriate for GCC commercial and institutional facilities. Participants examine COBie concepts as a structured, spreadsheet-based data exchange format for asset information, understanding its role in bridging construction handover and operational systems without requiring full BIM authoring expertise. The module closes with acceptance criteria: the specific, checkable standards a handover package must meet before an FM team formally accepts a facility from the delivery team.

Preventive Maintenance Setup

PPM Templates, Frequencies, Job Plans & Statutory Tasks

A reactive maintenance approach costs more and fails more often than a properly structured preventive programme. This module builds Planned Preventive Maintenance (PPM) setup skills — designing maintenance templates linked to asset type rather than building one-off plans for every individual asset. Participants determine maintenance frequencies based on manufacturer recommendations, criticality, and operating conditions relevant to GCC climate and usage patterns, and build job plans that give technicians clear, repeatable task instructions. The module covers statutory maintenance tasks — the legally mandated inspections and servicing required under GCC civil defence, health and safety, and building regulations — and closes with service-level alignment: matching PPM scheduling to the service level agreements that govern outsourced FM contracts.

Work-Order and Performance Data

Work Orders, Response Times, Backlog & Failure Coding

Work order data is the operational heartbeat of a CAFM system, and its quality determines whether performance reporting reflects reality. This module builds practical work order management skills — structuring requests, priorities, and completion records so that data entered at the technician level supports accurate reporting rather than requiring rework by a data team. Participants examine response time tracking against SLA commitments common on GCC FM contracts, and build backlog management discipline that prevents deferred maintenance from silently accumulating into major asset failures. The module covers failure coding standards that categorise breakdowns consistently, enabling trend analysis, and closes with KPI reporting: translating work order data into the performance metrics that FM contract managers and building owners actually need to see.

BIM/FM Interface

Model-to-Asset Data Flow, Data Validation & Digital Twin Readiness

This module addresses how BIM data flows into operational FM systems without requiring FM teams to become BIM modellers themselves. Participants examine the model-to-asset data flow — how asset attributes captured during design and construction are extracted, mapped, and validated against the FM system's asset register structure. The module covers data validation techniques that catch mismatches between BIM-sourced data and operational requirements before they corrupt a live asset register, and introduces COBie-lite approaches for organisations that need structured handover data without full COBie compliance overhead. The module closes with digital twin readiness assessment: understanding what asset data quality and structure a facility needs in place before it can credibly support a future digital twin initiative.

CAFM implementations fail more often from poor data and governance than from software limitations. This module builds practical implementation control skills, starting with data cleansing techniques that identify and correct duplicate, incomplete, or inconsistent asset records before they enter a new system. Participants plan data migration approaches that preserve maintenance history and warranty status during a system transition, and design user role structures that balance operational access with data integrity protection across FM teams, contractors, and management. The module covers governance structures that keep an asset register accurate after go-live rather than degrading over time, and closes with change-management risk assessment — anticipating the adoption resistance and workflow disruption that commonly undermine CAFM rollouts.

Capstone Handover Pack

Building an Asset-Register and Handover Checklist for a Sample Facility

The programme closes with an applied capstone: participants build a complete asset register structure and handover checklist for a realistic sample facility, drawing on every skill built across the previous seven modules. Working from a facility scenario with defined asset types, systems, and handover documentation, participants design an asset hierarchy and coding structure, define mandatory data fields, build a PPM template set, and assemble a handover checklist that reflects genuine acceptance criteria. Facilitator and peer feedback focuses on whether the finished pack would allow an FM team to operate the sample facility confidently from day one — not just whether the documentation looks complete on paper.
